I may collect your name, contact details, and information you choose to share during coaching sessions.
How I use your information
Your information is used solely for the purpose of providing coaching services, maintaining appropriate records of our sessions, and communicating with you.
How your information is stored
Each client is assigned a unique ID code, and identifying details are kept separately from session notes. Contact details are stored securely in an electronic format, with session notes kept separately as paper records in locked storage.
Confidentiality
All information shared in coaching sessions is treated as confidential, except where there is a legal or ethical obligation to disclose information (for example, risk of serious harm).
How long I keep your information
Coaching records are kept for up to 3 years after our final session, after which they are securely destroyed.
Your rights
You have the right to request access to your personal data, to request corrections, and to ask for your data to be erased where appropriate.

Working Boundaries & Expectations
This document sets out how I work, to ensure clarity, consistency, and a professional coaching relationship.
Session Boundaries
- Sessions will start and finish on time
- Sessions typically last 50-60 minutes
- Additional time cannot usually be extended beyond the agreed session
Contact Between Sessions
- Contact between sessions is limited to practical matters (e.g. scheduling)
- I do not offer ongoing coaching support between sessions unless agreed in advance
Response Times
- I aim to respond to messages within 1-2 working days
- Messages are not monitored continuously
Crisis Support
Coaching is not a crisis service.
If you are in distress or need urgent support, please contact:
- Your GP
- NHS 111
- Emergency services (999) if you are at immediate risk
Scope of Coaching
Coaching focuses on personal and professional development.
It is not a substitute for therapy, counselling, or medical advice.
If appropriate, I may suggest seeking additional or alternative support.
Professional Boundaries
- The coaching relationship is professional in nature
- I will maintain appropriate boundaries at all times
- Dual relationships (e.g. coaching close friends or family) are generally avoided
Respect and Commitment
- Coaching works best with mutual respect, honesty, and commitment
- You are responsible for your own decisions and actions
Complaints Policy
I am committed to providing a professional and supportive coaching service. If you are unhappy with any aspect of your experience, you are encouraged to raise this so it can be addressed.
Raising a Concern
If you have a concern or complaint, please raise it as soon as possible by contacting me directly at: victoria@alignednorth.co.uk
Informal Resolution
Where possible, concerns will be addressed informally through open discussion, with the aim of reaching a satisfactory resolution.
Formal Complaint
If the issue is not resolved informally, you may make a formal complaint in writing.
I will:
- Acknowledge your complaint within 3–5 working days
- Investigate the matter fairly and objectively
- Provide a written response within 14 days where possible
Outcome
I will aim to resolve complaints in a way that is respectful and fair to all parties.
Further Steps
If you remain dissatisfied, you may choose to escalate your complaint to a relevant professional body (UKCPD or Association for Coaching) or seek independent advice.
Learning and Improvement
All complaints are taken seriously and used as an opportunity to reflect and improve the service provided.

Safeguarding Policy
I am committed to providing a safe, supportive environment for all clients and to responding appropriately to any safeguarding concerns.
Purpose
This policy outlines how I respond to concerns about the safety or wellbeing of clients or others.
Scope
This policy applies to all coaching sessions and interactions with clients.
Safeguarding Principles
- The safety and wellbeing of the client is paramount
- All concerns are taken seriously
- Information is handled sensitively and appropriately
- Confidentiality may be breached where there is risk of serious harm
Recognising a Safeguarding Concern
A concern may arise if a client:
- Expresses risk of harm to themselves or others
- Discloses abuse or neglect
- Appears vulnerable and unable to protect themselves
Responding to a Concern
If a safeguarding concern arises, I will:
- Remain calm and listen without judgement
- Clarify the concern where appropriate
- Explain that confidentiality may need to be broken if there is risk of harm
- Make a written record of the concern as soon as possible
Taking Action
Depending on the situation, I may:
- Encourage the client to seek appropriate support (e.g. GP, support services)
- Contact relevant services if there is a serious and immediate risk
- Seek professional advice or supervision
If there is an immediate risk of serious harm, emergency services may be contacted.
Confidentiality
Confidentiality will be maintained wherever possible. However, it may be necessary to share information without consent if there is a risk of serious harm to the client or others.
Record Keeping
Any safeguarding concerns will be recorded factually and stored securely in line with data protection practices.
Review
These policies will be reviewed periodically to ensure they remain appropriate for the practice.
